[Remote] Operations Delivery Specialist (Smartsheet) - Healthcare projects

Note: The job is a remote job and is open to candidates in USA. Sellers Dorsey is a healthcare impact strategy firm seeking an Operations Delivery Specialist to support day-to-day execution of Product & Technology engagements. The role maintains project plans, delivery data, Smartsheet reporting, stakeholder coordination, and operational processes while surfacing risks and improving delivery workflows.

Responsibilities

  • Coordinate day-to-day execution on assigned engagements: maintain project plans, track milestones and deliverables, and follow up on action items, dependencies, and deadlines
  • Maintain RAID logs (risks, actions, issues, decisions), change requests, and decision records, follow up with owners to keep items moving, and flag risks, blockers, and scope changes to the Associate Director early
  • Schedule and coordinate project meetings: prepare agendas and materials, capture and distribute notes and action items, and follow through on status
  • Apply P&T delivery standards for scheduling, estimation, change control, and tracking consistently across assigned work
  • Build, update, and maintain Smartsheet project plans, trackers, reports, and dashboards that serve as the system of record for P&T delivery, including sheets, forms, workflows, automations, and templates that reflect current scope, timelines, and deliverables
  • Produce recurring status reports, RAG summaries, and milestone and capacity views for the Associate Director and P&T leadership
  • Check data for accuracy and consistency across sheets, reports, and dashboards, and correct issues at the source
  • Maintain column, naming, and report standards across workspaces
  • Maintain formulas and cross-sheet references, manage sharing and permissions, and troubleshoot basic configuration issues
  • Serve as a working-level point of contact between delivery teams and partners in Product, Finance, Legal, Growth, and Client Success
  • Coordinate stakeholder communications with internal and external partners: draft status updates and correspondence, prepare meeting materials, and follow up on commitments
  • Help carry post-sale hand-offs and onboarding steps through to completion
  • Draft and maintain SOPs, templates, checklists, and playbooks that standardize delivery and operations work
  • Identify bottlenecks, redundancies, or gaps in existing workflows and bring recommendations for process, template, or tool improvements to the Associate Director
  • Support the rollout of approved changes and gather feedback on what works
  • Apply approved AI capabilities in your own delivery and operations work, and help design and implement AI-enabled workflows for P&T and with partner teams, documenting prompts, templates, and usage guidance to support adoption
  • Maintain resource allocation, availability, and time-off views and prepare capacity inputs for staffing and prioritization discussions
  • Track team hours against project plans and allocations and flag variances to the Associate Director
  • Support special projects and other P&T operational initiatives as assigned

Skills
